# Google Workspace Studio: Which Plans Include It, the 25-Flow Limit, and What Changes November 1, 2026

**By Justin McKelvey** · Published October 17, 2026 · Updated October 17, 2026 · 8 min read

> Google Workspace Studio is the automation builder inside Workspace, included with Business Starter, Standard and Plus at no extra cost. The limits decide whether it works for a business: 25 flows per person, 20 steps per flow, an unpublished daily run cap, and per-user usage limits Google starts enforcing November 1, 2026. Here is what it connects to, how fast runs add up, and when to use Zapier, n8n or a custom build instead.

## What is Google Workspace Studio, and what does it cost?

**Google Workspace Studio is Google's automation builder inside Workspace: you describe a task to Gemini or pick a template, and it builds a "flow" that runs across Gmail, Drive, Sheets, Chat, Calendar, Docs, Forms and Tasks. As of October 17, 2026 it has no price of its own. It comes with Business Starter, Standard and Plus, Enterprise Standard and Plus, and the Education editions. The catch is the limits: 25 flows per person, 20 steps per flow, an unpublished daily run cap, and per-user usage limits that Google says it starts enforcing on November 1, 2026.**

Every fact below comes from Google's own pages, read October 17, 2026: the Workspace Studio help center, the Workspace admin guide for Studio (last updated October 13, 2026), Google's AI usage limits page and the Workspace pricing page. Google does not publish everything a builder needs, and where it does not, we say so.

## Which Google Workspace plans include Studio?

Google's getting-started page lists the eligible editions and add-ons, and the pricing page shows Studio checked on all four business columns:

| Edition | Studio included | What else decides access |
| --- | --- | --- |
| Business Starter, Standard, Plus | Yes | Your admin must turn Studio on and enable Gemini for your account |
| Enterprise Standard, Plus | Yes | Same admin settings |
| Education Fundamentals, Standard, Plus | Yes | Users under 18 cannot use AI steps |
| AI Expanded Access add-on (business) | Raises limits | Google's pricing page says it gives "more Workspace Studio automations" |
| Personal Google accounts | Only through Workspace Experiments | Not a business option |

So for most small businesses the honest answer to "how much does Workspace Studio cost" is: nothing extra, as long as you already pay for a Workspace seat. Google's pricing page did not render plan prices to our reader today, so we are not quoting seat prices here. Check them in your own admin console.

## The limits that stop a flow

Google publishes four limits on its Studio limits page and repeats them in the admin guide:

- **25 flows per person**, counting flows that are turned off. A team that builds one flow per small task hits this fast; combine related tasks into one flow with conditions.
- **25 active flows started by Gmail.** In practice this is the same ceiling, since the flow cap is also 25.
- **20 steps per flow.** A "Repeat for each" loop and its sub-steps count, so a flow that processes a list with several actions per item uses steps quickly.
- **A daily run limit across all of your flows combined.** Google does not publish the number. When you reach it, every active flow stops, new runs fail, error notices show in the Studio side panel, and the count resets 24 hours later.

One older copy of Google's limits page, still showing in search results this week, says 100 flows. The live help page and the admin guide both say 25 today. Plan for 25.

## What changes on November 1, 2026

Google's AI usage limits page lists Workspace Studio as "Promotional access. Limits enforcement starts on November 1, 2026" on every business column: Business Starter, Business Standard and Plus, Enterprise, and the AI Expanded Access add-on. The same page says that creating and running flows counts against AI usage limits, that limits apply to each person and are not pooled, and that daily limits reset at 12 AM Pacific.

Two things are worth knowing before that date. First, Google has moved it before: its April 2026 announcement said promotional higher limits would run through September 1, 2026. Second, the enforced numbers are still not on the page. If your team built flows during the promotional period, expect the busiest ones to be the first to pause, and find out now which those are.

## A worked example: how fast runs add up

Because the daily cap is unpublished, the useful number is your own run count. Every time a starter fires, that is one run, whether or not the flow does anything useful. Take the flows one office manager at a 6-person company might build:

| Flow | Starter | Runs a day |
| --- | --- | --- |
| Summarize and label every new email in the office inbox | When I get an email (no filter), 140 emails a day | 140 |
| Check a job sheet for overdue rows | On a schedule, every 15 minutes | 96 |
| Post new web-form leads to Chat and draft a reply | When a form response comes in, 12 a day | 12 |
| Morning recap of unread email | On a schedule, daily | 1 |
| **Total, one person** | | **249** |

Two filters change that picture. Restricting the email flow to messages from your web form or with "quote" in the subject (Google's own suggestion) might cut 140 runs to 15. Moving the sheet check from every 15 minutes to hourly cuts 96 to 24 during a 24-hour day. The same work drops from 249 runs to 52, a 79% cut, before any limit is involved. Google's admin guide also suggests an alert when one user's flows start more than 100 runs in an hour, which is a sign of a loop.

## What Studio can connect to

Studio is strongest inside Google's own apps. Its starters include a new email, a chat message or mention, a sheet change, a file added or edited in a folder, a form response, a meeting, and a schedule or manual start. Its AI steps are Ask Gemini, Decide (a true or false answer you can branch on), Extract, Summarize, Recap unread emails, Create with Gemini and Deep Research.

Outside Google, the built-in integrations listed today are Asana, Confluence, Jira, Mailchimp and Slack, all marked Beta. Anything else, such as a new record in Airtable, an incoming webhook or your CRM, needs a custom starter or step built as a Google Workspace add-on in Apps Script or as an HTTP add-on. Google notes that custom starters cannot be test-run manually; you test by turning the flow on and triggering a real event. And a test run of any flow takes real actions: it sends the email and moves the file.

One deadline for existing users: Google has stopped new "Ask a Gem" steps as Gems move to skills, and existing ones must be replaced with "Ask Gemini" steps before March 2027.

## The ownership problem most guides skip

Every Studio flow belongs to one person. Sharing a flow gives the other person a copy, not shared ownership. Google's admin guide says that if an admin turns Studio off for someone, every active flow they own stops immediately, and its recommended way to stop a misbehaving flow is to move its owner into an organizational unit with Studio off. Put together: when an employee who built your lead-intake flow leaves and their account is suspended, that flow stops. Keep business-critical flows on an account the business controls, and keep a list of who owns what.

## Google Workspace Studio vs Zapier, Make, n8n and Power Automate

| If your work lives... | Start with | Why |
| --- | --- | --- |
| Almost entirely in Gmail, Drive, Sheets and Chat | Workspace Studio | Already paid for, Gemini built in, no connector to maintain |
| In Microsoft 365 | Power Automate | The same idea on Microsoft's side, with its own licensing rules |
| Across many non-Google apps (CRM, accounting, texting) | Zapier, Make or n8n | Ready-made connectors and webhooks, no add-on to write |
| In a process that runs hundreds of times a day or touches money | A platform built for volume, or a custom build | Studio's daily cap is unpublished, and a paused flow is a missed lead |

The Microsoft equivalent has the same owner problem with clearer numbers; our [Power Automate pricing](/blog/power-automate-pricing) breakdown covers its 6,000-action daily limit for Microsoft 365 users. If you outgrow Studio, the usual next step is a usage-billed platform, and how each one meters the work changes the bill a lot: see [how much Zapier costs](/blog/how-much-does-zapier-cost), [n8n pricing](/blog/n8n-pricing), and our [automation platform pricing](/blog/automation-platform-pricing) comparison, which prices one lead workflow on every major platform.

## Who can build Google Workspace Studio flows for my business?

Most single-person flows (save attachments, a daily recap, a Chat alert on a form) are worth building yourself; Studio's "describe it" mode is good at those. Bring in a builder when a flow becomes a business process: it needs a custom step into your CRM or job system, it has to survive an employee leaving, it should run on a shared business account, or it runs often enough that the November 1 limits could pause it. SuperDupr, Justin McKelvey's company, builds that layer, in Studio when it fits and in n8n, Make or custom code when volume or connectors say otherwise. We do not resell Google seats. That work is an [AI workflow automation](/solutions/ai-workflow-automation) project for us, published at $10,000 to $25,000; most AI systems go live in 2 to 4 weeks, support afterwards runs $200 to $2,000 a month depending on volume, and the business owns what we build. The first step is a free 30-minute strategy session.

## Frequently Asked Questions

### What is Google Workspace Studio?

Google Workspace Studio is Google's automation builder for Workspace. You describe a task to Gemini, pick a template or build from scratch, and it creates a flow that starts on an event (a new email, a sheet change, a form response) or a schedule and runs steps across Gmail, Drive, Sheets, Docs, Chat, Calendar, Forms and Tasks, including AI steps such as Ask Gemini, Decide, Extract and Summarize.

### Is Google Workspace Studio free?

It has no separate price. As of October 17, 2026, Google includes Studio with Business Starter, Standard and Plus, Enterprise Standard and Plus, and the Education editions, so it costs nothing extra if you already pay for one of those seats. The AI Expanded Access add-on raises its limits. Your admin has to turn Studio on and enable Gemini for your account.

### What are the limits in Google Workspace Studio?

Google's help page lists 25 flows per person (including flows that are turned off), no more than 25 active flows started by Gmail, 20 steps per flow, and a daily run limit across all of your flows that Google does not publish as a number. When you hit the daily limit, every active flow stops until the limit resets 24 hours later.

### What changes for Workspace Studio on November 1, 2026?

Google's AI usage limits page says Studio is on promotional access and that limits enforcement starts on November 1, 2026, for Business Starter, Standard, Plus, Enterprise and the AI Expanded Access add-on. Limits are per person and not pooled. Google had earlier said promotional limits would end September 1, 2026, and the enforced numbers are not yet published.

### Is Google Workspace Studio a replacement for Zapier?

For work that stays inside Gmail, Drive, Sheets and Chat, often yes, and it is already paid for. Its built-in outside integrations are Asana, Confluence, Jira, Mailchimp and Slack (all Beta); anything else needs a custom add-on. Processes that cross many other apps or run hundreds of times a day usually belong on Zapier, Make, n8n or a custom build.

### How much does it cost to have someone build Workspace Studio flows?

Simple personal flows are worth building yourself. For flows that run a business process, SuperDupr, Justin McKelvey's company, builds them as an AI workflow automation project published at $10,000 to $25,000, with support at $200 to $2,000 a month depending on volume. Most AI systems go live in 2 to 4 weeks.
