FreshBooks is the better pick for a service business that lives on invoices, time, and projects, has one to three people who need to log in, and wants a cheaper bill and a friendlier screen. The published prices are close at the entry tier and diverge fast on users: FreshBooks charges $11 a month for every additional team member on any plan, while QuickBooks includes one, three, five, or twenty-five users by tier. That one line decides most of the comparisons that come across my desk.

Every price below is from the two vendors' own pricing pages on September 9, 2026. Both run steep introductory promotions (90% off for three months at FreshBooks, 50% off for three months at QuickBooks), and the numbers here are the regular monthly prices you will actually pay in month four.

The number that matters is "billable clients." Lite caps you at five clients you can invoice, which is fine for a consultant with a handful of retainers and useless for a cleaning company with sixty accounts. Most growing service businesses land on Plus.

  • Simple Start: $38 a month. 1 user, with access for 2 accountants. Invoicing, expense categorization, general business reports, and bill pay with free ACH within a monthly allotment ($0.50 per standard ACH transaction beyond it).
  • Essentials: $85 a month. 3 users, 2 accountants. Adds bill management, enhanced reports (accounts receivable and payable), and employee time on invoices.
  • Plus: $140 a month. 5 users, 2 accountants. Adds inventory, project profitability, budgets, and class and location tracking.
  • Advanced: $340 a month. 25 users, 3 accountants. Adds custom roles, workflow automation, and the deeper reporting a controller wants.
  • Promotion and trial: 50% off for three months ($19, $42.50, $70, and $170) or a 30-day free trial. Intuit's page lists both; read the fine print before assuming you can stack them.

Intuit also sells a separate QuickBooks Solopreneur product for one-person businesses and prices QuickBooks Payments processing on its own page, so the card rate is not in the table above. Confirm both directly with Intuit; this page quotes only what the pricing page shows.

The per-user math that decides it

Put the two ladders side by side for the team sizes a small business actually has, using regular prices and assuming everyone on the team needs a login:

  • Solo owner: FreshBooks Lite $23 vs QuickBooks Simple Start $38. FreshBooks is $180 a year cheaper if five billable clients is enough; if it is not, FreshBooks Plus at $43 costs more than Simple Start.
  • Three people: FreshBooks Plus $43 plus two team members at $11 is $65. QuickBooks Essentials, which includes three users, is $85. FreshBooks saves $240 a year.
  • Five people: FreshBooks Premium $70 plus four team members at $44 is $114. QuickBooks Plus, with five users included, is $140. The gap narrows to $312 a year, and QuickBooks Plus brings inventory and class tracking that FreshBooks does not sell at any tier.
  • Ten people: FreshBooks Premium plus nine users is $169. QuickBooks Plus still costs $140 for the first five users, and the next step is Advanced at $340 for twenty-five. Past about eight logins, FreshBooks stops being the cheap option unless most of those people only need the time-tracking app.

The pattern: FreshBooks wins on price for one to five users and loses the moment the business needs inventory, a large team, or an accountant who insists on QuickBooks. QuickBooks costs more at every small team size and is the safer default the moment the books get complicated.

Where FreshBooks is better

  • Invoicing and getting paid. FreshBooks was built as an invoicing tool first and it shows: estimates, proposals, retainers, recurring invoices, late-payment reminders, and deposits are all on Plus and above, and the client portal is the cleanest of the two.
  • Time and project billing. Unlimited time tracking is on every plan, and Premium's project profitability shows whether a fixed-fee job made money. Agencies, consultants, designers, and trades that bill by the job get the most from it.
  • The owner does the books. If nobody on staff is an accountant, FreshBooks' screens are easier to keep current, which matters more than any feature. Books that are three months behind cost more than any subscription.

Where QuickBooks Online is better

  • Your accountant works in QuickBooks. Most US small-business accountants and bookkeepers do. Two accountant seats are included on every plan, and the year-end handoff is a login, not an export.
  • Inventory, sales tax, and classes. Product businesses, restaurants, and anything with multiple locations need QuickBooks Plus. FreshBooks does not track inventory.
