Smartsheet Pricing in 2026: Pro vs Business, the 10-Member Cap, and Why Automations Need Business

Contributors are free. Pro has no API access and 250 automated triggers a month, so a team that connects Smartsheet to a website, an AI tool or other software needs Business.
How much does Smartsheet cost? The short answer
As of October 9, 2026, Smartsheet has four plans: Pro at $9 per member a month billed yearly ($12 monthly) for 1 to 10 members, Business at $19 per member a month billed yearly ($24 monthly) with a 3-member minimum, and Enterprise and Advanced Work Management at custom prices. Contributors are free on every plan. The catch for anyone automating work: Pro has no API access and stops at 250 automated triggers a month, so most automation builds start on Business.
Every price and limit below comes from Smartsheet's own pricing page and its developer documentation on API rate limits, both read October 9, 2026. Smartsheet's pricing page lists what each plan includes but does not define every term on the page itself; where a number depends on a definition we could not read there, we say so.

Smartsheet's built-in AI features (Smart Assist, Smart Columns, the AI dashboard builder, formula generation and data analysis) are on every plan, Pro included. What Pro lacks is the connection to outside AI tools and the API. Smartsheet also says the Pro plan is only available to new customers, and it offers a 30-day free trial with no credit card.
Members, Contributors and Guests
Smartsheet bills by Member. Every plan includes unlimited free Contributors, and Business and above add unlimited free Guests. The pricing page does not spell out what a Contributor can and cannot do, so before you count someone as free, check their role in Smartsheet's help center; the seat math below assumes everyone who builds sheets or automations is a Member.
Two plan edges change the bill more than the per-seat price does:
- Pro stops at 10 Members. The 11th Member moves you to Business: 10 Members on Pro is $90 a month billed yearly, 11 on Business is $209. One hire adds $119 a month.
- Business starts at 3 Members. A 2-person team that needs the API pays for 3, which is $57 a month billed yearly.
The limits that break automations on Smartsheet
Each work tool meters automation differently. Smartsheet's meters are where the plan line sits, not how much you use:
- No API on Pro. Smartsheet's feature table marks API calls as not included on Pro. A custom script, an AI agent or any integration you build that reads or writes sheets through the API needs Business or above. Smartsheet's own built-in actions (alerts, reminders, approvals, assigning people, moving rows, Slack and Microsoft Teams alerts) are on every plan.
- 250 automated triggers a month on Pro. Business and above are unlimited. Smartsheet's pricing page counts triggers, not workflows, so a busy sheet runs through 250 quickly: 600 incoming requests a month that each start one workflow is more than twice the Pro allowance.
- 300 API requests a minute per token. On paid plans with API access, most calls count once against that limit. Posting a file attachment or reading a cell's history counts 10 times, which caps those at 30 a minute. Go over and Smartsheet returns a 429 "Rate limit exceeded" error; its docs suggest waiting at least 60 seconds before retrying.
- Data moves in and out cost extra. Data Shuttle, which schedules imports and exports between Smartsheet and other systems, starts at $100 a month on Business and Enterprise. Dynamic View, for sharing filtered views with people outside the sheet, starts at $125 a month. Bridge, Smartsheet's low-code workflow builder, is an add-on on Enterprise only.
A worked example: a 6-person operations team
Smartsheet's page lists plans, not workloads, so here is one. A property maintenance company runs work orders in Smartsheet: an owner, an operations manager, 2 coordinators and 2 schedulers, all building and editing sheets. About 600 work requests a month come in from a web form and email.

The finding most Smartsheet price lists miss: Pro looks like the small-team plan, but for anything automated it is a manual plan. The $60 a month between Pro and Business for this team (billed yearly) is the price of the API, unlimited triggers and the AI connections, and it is cheap next to having a coordinator retype 600 requests. If your automation stays inside Smartsheet's own alerts and approvals and stays under 250 triggers, Pro is fine; once anything outside Smartsheet needs to write in, budget Business from day one.
How Smartsheet connects to AI and workflow automations
On Business and above, Smartsheet lists direct connections to Anthropic's Claude, OpenAI's ChatGPT, Microsoft Copilot and Google Gemini Enterprise, plus Power BI and Tableau for reporting and nearly 100 other integrations across plans. The API is the route for everything else: web forms, phone and intake systems, accounting tools and custom AI agents. Because the API limit is per token, a build that runs several jobs through one token shares 300 requests a minute among them, which is plenty for most small teams and worth planning for if you sync attachments.

Owners shortlist the two for the same job, and their meters are almost opposite. Smartsheet gates automation by plan: Pro has no API and 250 triggers, Business has unlimited triggers and API access with a per-minute rate limit. Airtable gates by volume: every paid plan has an API, but Team caps the workspace at 25,000 automation runs and 100,000 API calls a month. How to keep a Smartsheet bill small
- Decide on the API before you pick a plan. If anything outside Smartsheet will write in, Pro is the wrong plan.
- Watch the 10-Member line. The 11th Member costs $119 a month more on yearly billing because it moves everyone to Business.
- Use free roles where they fit. Contributors are free on every plan and Guests on Business and above; confirm what each role can do first.
- Bill yearly. Pro is $9 instead of $12 and Business $19 instead of $24 per Member a month.
- Price add-ons with the plan. Data Shuttle from $100 and Dynamic View from $125 a month can cost more than the seats on a small team.
