Softr Pricing 2026: Plans, the Gmail Rule, and the 250-Client Jump From $299 to $631

Softr costs $0, $19, $99 or $329 a month billed yearly ($25, $119 or $395 monthly), plus custom Enterprise pricing, as of October 17, 2026. Plans include a set number of builders, team users and client users, and extra users are billed monthly. Here is how Softr counts users, what a client portal costs at 40 to 251 clients, and when Pro stops being the cheap plan.

How much does Softr cost? The short answer

As of October 17, 2026, Softr has five plans: Free ($0), Basic $19 a month, Pro $99 and Business $329 billed yearly ($25, $119 and $395 billed monthly), plus Enterprise at a custom price. The plan price is for the workspace, not per seat, but it includes a fixed number of builders and app users, and extra users are billed every month on top. For a client portal, the number that decides your bill is how many outside people log in: Pro tops out at 250 client users, and the next client after that moves you to Business at more than double the price.

Prices and user rules come from Softr's own pricing docs and its pricing page, both read October 17, 2026. The worked examples are our arithmetic on those numbers.

The feature lines that move people up a plan: Basic adds a custom domain, conditional form logic and database backups. Pro removes Softr branding and adds Google sign-in and one-time-code login for app users, granular permissions, and custom code and API connectors. Business adds two-factor authentication, domain-restricted signup, an installable mobile app with push notifications, and priority support. Enterprise adds single sign-on, audit logs, and Snowflake and BigQuery as data sources. Extra custom domains are $15 a month ($13 billed yearly), nonprofits and schools get 50% off, and paid plans are refundable within 14 days of the first monthly payment or 30 days of the first yearly one.

Who Softr counts, and the Gmail rule

Softr bills three kinds of people differently:

  • Builders are the people who build apps, databases and workflows in Softr Studio. They can also log in to your apps without counting as app users.
  • Team users are app users whose email shares a business domain with one of your builders.
  • Client users are everyone else. Softr counts any free email domain, such as Gmail, as a client user, even if that person works for you.

That last rule catches field-service companies. If your 15 technicians log in to a job app with personal Gmail addresses, Softr counts them as client users, not team users. On Pro that is 15 of your 50 included client seats, and on Basic it is impossible, because Basic includes 5 client users with no way to add more. Give staff company addresses before you pick a plan.

The same email across several apps counts once, deactivated users do not count, and Softr checks the count once a day. When you first go over, it emails the owner and waits 7 days before charging, and extra users are billed monthly even when the base plan is yearly.

A worked example: a client portal for an accounting firm

Softr's page lists allowances, not bills, so here is one. A 6-person accounting firm, all on the firm's own email domain, builds a client portal where clients upload documents and check the status of their return. One partner builds it. We priced it at four client counts, on yearly billing for the base plan:

Clients who log inCheapest plan that fitsMonthly billPer client
40Pro: 50 client users included$99$2.48
120Pro: $99 + 70 extra x $1$169$1.41
250Pro: $99 + 200 extra x $1 (Pro's maximum)$299$1.20
251Business: $329 + 151 extra x $2$631$2.51

The finding most Softr price lists miss: the step from Pro to Business is not a $230 upgrade, it is a $332 jump for one extra client, because Business charges $2 for each client above 100 where Pro charged $1 above 50. Business then climbs to $1,129 a month at its 500-client maximum, and past that you are on Enterprise. If you are near 250 clients, archiving clients who no longer log in (deactivated users do not count) is worth more than any discount code.

The firm's six staff never cost anything extra here: they are team users, Pro includes 10, and the partner who builds is a builder. Workflow actions are the other meter. If each client uploads 3 documents a month and each upload fires 3 actions (update the record, notify the staff member, email the client a receipt), 250 clients use 2,250 actions a month, well inside Pro's 10,000. Softr does not count triggers or flow controls, and when you hit the cap, workflows pause until the month renews or you upgrade.

How Softr connects to AI and workflow automations

Softr now sells itself as an AI app builder with its own databases, workflows and agents, plus an API and an MCP server on every plan including Free. AI credits come with each plan, reset monthly and do not roll over, while add-on credits roll over for one month. When credits run out you can keep building in the no-code editor; you lose AI help, not the app. Softr's pricing page does not list how many AI credits each plan includes, so budget AI use from the in-app meter during the trial.

Softr can also sit in front of data that lives somewhere else, and Airtable is a common pairing. If that is your setup, the limits on the database side matter as much as Softr's: our Airtable pricing breakdown covers the API call cap that a busy portal can hit. And Softr's 10,000 workflow actions on Pro are a different unit from the task and credit meters on automation platforms; our automation platform pricing comparison shows how those meters change the bill for the same work.

Is Softr worth it, and what are the alternatives?

For a client portal or an internal tool on top of data you already have, yes. $99 to $299 a month for a branded portal with permissions and up to 250 clients is cheap next to custom software. It is a weaker fit when most users are staff on personal email, when you will pass 250 outside users soon, or when the app needs logic Softr's workflows cannot express.

Owners usually shortlist Softr against Glide for internal apps. Glide charges for each team member who opens a private app, so its bill tracks headcount, while Softr's tracks how many outside clients log in; our Glide pricing breakdown prices a 10-person field team on Glide with a Softr Pro row for comparison. If the portal is part of bringing on new clients, our guide on how to automate customer onboarding with AI covers the steps around it.

Who can build a Softr client portal for my business?

A tidy office manager can build a working Softr portal in a few days, and for many firms that is the right call. A builder earns a fee when the portal has to write into your accounting, practice-management or job software, when AI should read the uploaded documents, or when you have outgrown the 250-client line and want to own the system instead of paying per login. SuperDupr, Justin McKelvey's company, builds those systems; we do not resell Softr plans. A portal with the automations behind it is an AI workflow automation project for us, published at $10,000 to $25,000; most AI systems go live in 2 to 4 weeks, support afterwards runs $200 to $2,000 a month depending on volume, and the business owns what we build.
