How Much Does Zapier Cost in 2026? The Full Task Ladder, AI Step Rates, and the 3x Overage Cap

As of September 30, 2026, Zapier is free for 100 tasks a month, Professional starts at $19.99 a month billed yearly for 750 tasks, and Team at $69 for 2,000. An AI step can use 3 or 5 tasks, and pay-per-task billing, on by default for newer accounts, can run a bill to three times the plan's task limit.

How much does Zapier cost? The short answer

As of September 30, 2026, Zapier is free for 100 tasks a month, Professional starts at $19.99 a month billed yearly ($29.99 billed monthly) for 750 tasks, and Team starts at $69 a month billed yearly ($103.50 monthly) for 2,000 tasks. Enterprise is quoted. What you actually pay depends on three things the plan cards do not show: which task tier you pick, how many tasks each step uses (an AI step can use 3 or 5), and whether pay-per-task billing, which is on by default for newer accounts, runs you past your plan.

Most pricing write-ups stop at "$19.99." That number buys 750 tasks, and a lead-handling workflow with one AI step can use 7 tasks per lead. This page has the full ladder, the task rates, and the math on a real workflow.

Sourcing note: every price and rule below is from Zapier's own pages, read September 30, 2026: the pricing page (plan cards, comparison table and the plan data the page loads for its tier selector), the task usage rates page, and two Help Center articles ("How is task usage measured in Zapier?", updated August 21, 2026, and "How pay-per-task billing works in Zapier", updated August 15, 2026).

Yearly billing is labeled "Save 33%," and the arithmetic holds: $19.99 is two-thirds of $29.99. New accounts get a 14-day trial of the paid features. Nonprofits get 15% off any paid plan, not counting pay-per-task charges.

One thing to confirm before you buy seats: the Team card lists "25 users," while the FAQ on the same page says "Unlimited users are available on Team and Enterprise plans." Ask Zapier which one applies to your account.

The full task ladder

The plan cards show only the "starting from" price. The tier selector carries the rest. These are the Professional and Team prices from 750 to 100,000 tasks a month:

Tasks per monthProfessional, monthly billingProfessional, yearly (per month)Team, monthly billingTeam, yearly (per month)
750$29.99$19.99n/an/a
1,500$58.50$39n/an/a
2,000$73.50$49$103.50$69
5,000$133.50$89$178.50$119
10,000$193.50$129$253.50$169
20,000$283.50$189$373.50$249
50,000$433.50$289$598.50$399
100,000$733.50$489$898.50$599

The ladder keeps going to 2 million tasks a month. Two things stand out. The price per task falls fast: 4 cents at 750 tasks on monthly billing, under 2 cents at 10,000, under 1 cent at 100,000. And doubling from 750 to 1,500 tasks nearly doubles the price, so the low tiers are where a wrong guess costs the most in percentage terms.

What counts as a task, and what an AI step really uses

A task is a successful action. Zapier's help center is direct about what is free: "Zap triggers never use tasks," Filter and Paths steps do not count, and action steps that error or halt do not count. Its rates page lists the built-in tools that "never use tasks": Formatter, Paths, Filters, Delay, Looping, Digests, Storage, Tables and Forms.

The part that changed is that some steps now use more than one task:

StepTasks used
Standard action in any app1
AI by Zapier, standard model1
AI by Zapier, your own model key1
AI by Zapier, advanced model3
AI by Zapier, premium model5
Lead Router5 per lead routed
Zapier MCP tool call2
Code step1, plus 1 per 30 seconds past your plan's runtime allowance

Zapier says these rates "may change over time" and that it will announce changes before they apply. Zapier Agents run on a separate activity quota and do not draw from tasks at all.

The default setting that can more than triple a bill

When you pass your plan's task limit, Zapier does not stop your Zaps. It switches you to pay-per-task billing for the rest of the period. The help article says this is "enabled by default if you joined Zapier after January 2024," and that it is "charged at a higher per-task rate than your base subscription tasks."

There is a ceiling: Zaps stop when usage reaches "3 times your plan's task limit." Zapier's own example is the Professional 750 plan, which can run to 750 plan tasks plus 1,500 pay-per-task tasks.

Zapier's visible copy does not print the overage rate; it tells you to check Billing settings. The plan data its pricing page loads does carry a figure for each tier, and in every tier we checked it works out to 1.25 times the plan's own per-task price. On Professional 750 billed monthly that is 5 cents a task against a 4-cent plan rate. Treat that as our reading of Zapier's page data, and confirm your exact rate in Billing settings.

At that rate, the worst case on the cheapest paid plan is:

  • Plan: $29.99 for 750 tasks.
  • Overage to the ceiling: 1,500 tasks at $0.05, which is $75.
  • Total: $104.99 for the month on a $29.99 plan.

You can turn pay-per-task off in Billing settings. Then Zaps pause at your limit instead of billing past it. Pick on purpose: a paused lead workflow costs you leads, and an open one costs you money.

A worked example: 300 leads a month

Take a home-services company that gets 300 web leads a month and runs each one through this Zap:

  1. New form submission (trigger): 0 tasks.
  2. Filter out spam: 0.
  3. Format the phone number: 0.
  4. AI step to score and summarize the lead: 1, 3 or 5, depending on the model tier.
  5. Create the contact in the CRM: 1.
  6. Send a text to the lead: 1.
  7. Create a follow-up task on the calendar: 1.
  8. Post to the team's Slack channel: 1.
AI model tierTasks per leadTasks per monthWhat it costs on Professional, monthly billing
Standard51,500$58.50 (the 1,500 tier, no overage)
Advanced72,100$78.10 (the 2,000 tier at $73.50, plus 100 tasks at 4.6 cents)
Premium92,700$105.70 (the 2,000 tier, plus 700 tasks at 4.6 cents)

Same leads, same workflow, and the choice of AI model moves the bill from $58.50 to $105.70. None of those numbers is the $19.99 on the plan card.

The table also shows something the tier selector will not tell you. At 2,700 tasks, staying on the 2,000 tier and paying overage ($105.70) is cheaper than stepping up to the 5,000 tier ($133.50). On these figures the step-up only wins once you pass about 3,300 tasks a month. If your volume sits just over a tier line, do that math before you upgrade.

Is the free plan enough?

For a test, yes. The Free plan gives 100 tasks a month and two-step Zaps: one trigger and one action. That covers "new form entry, add a row to a spreadsheet" about three times a day. It does not cover the lead workflow above, which needs multi-step Zaps and would use the whole month's allowance on the first 20 leads.

Where Zapier stops being the cheap option

Zapier charges per successful action, so cost rises with every step you add and every record you run. That is fine at 1,500 tasks a month. At 20,000 tasks you are paying $283.50 a month on monthly billing, $3,402 a year, and tools that charge per workflow run or that you host yourself start to look different. Our n8n vs Make vs Zapier comparison covers how the three pricing models diverge as volume grows, and our list of Zapier alternatives covers when each one makes sense.

If the AI step is the expensive part of your Zap, compare it with tools built around AI steps in our roundup of the best AI workflow automation tools. And if you are weighing the subscription against having someone build and run the automation for you, AI automation pricing lays out what agencies charge and how those packages are structured.

How to keep a Zapier bill predictable

  1. Count tasks per run before you pick a tier. Add up the action steps, then multiply AI steps by their model tier. Multiply by your monthly volume.
  2. Use the cheapest model tier that does the job. A standard model at 1 task is a fifth of a premium model at 5. Sorting leads rarely needs the premium tier.
  3. Put Filters first. A Filter is free and stops everything after it from running. Spam that never reaches the AI step costs nothing.
  4. Decide on pay-per-task. Leave it on for revenue workflows, turn it off for nice-to-have ones, and know the 3x ceiling either way.
  5. Check the usage page mid-month. Zapier emails at 80% and 100% of your limit. Do not wait for the email.

When you would rather not count tasks at all

Zapier is a good tool for a team that wants to build its own automations and watch its own usage. If you would rather have the lead workflow, the follow-up and the reporting built for you, that is what SuperDupr's AI workflow automation is for: a done-for-you build designed around your business, with the tools chosen by what they cost at your volume.
