Xero Pricing 2026: Early vs Growing vs Established, the 90% Offer, and the Limits That Break Automations

Xero costs $27 a month on Early, $59 on Growing and $97 on Established, billed monthly with no per-user fees, as of October 19, 2026. New US customers who buy before November 2 get 90% off for the first 6 months, and payroll is $36 a month plus $6 per person on top. Here is what a 6-person business really pays in year one, and the invoice caps and API limits that stop automations.

How much does Xero cost? The short answer

As of October 19, 2026, Xero's US pricing page lists three plans: Early at $27 a month, Growing at $59 and Established at $97, billed monthly, with no per-user fees. Early caps you at 20 invoices and 5 bills a month. New US customers who buy before November 2, 2026 get 90% off the plan for the first 6 months ($2.70, $5.90 or $9.70 a month). Payroll is an add-on at $36 a month plus $6 per employee or contractor, and the discount does not apply to it.

We read xero.com/us/pricing-plans on October 19, 2026. Xero changes its offer often: on October 18 the same page advertised 80% off for three months. The plan prices are the stable part. The cost examples below are our own arithmetic on Xero's published numbers.

Xero's three plans side by side

PlanRegular price a monthFirst 6 months (offer)Invoices and billsCash flow forecastWhat the plan adds
Early$27$2.7020 invoices, 5 bills a month30 daysQuotes, online invoice payments, bank reconciliation, Smart Document Capture, sales tax, W-9 and 1099 management, basic graphs. Auto-reconcile is an extra $5 a month
Growing$59$5.90Unlimited invoices, automated bill entry60 daysAuto-reconcile included, custom dashboards, financial health scorecards, up to 3 budgets
Established$97$9.70Unlimited invoices, automated bill entry180 daysMultiple currencies, project time and cost tracking, employee expense and mileage claims, KPI analysis, industry benchmarks, international bill payments

All three plans include free standard ACH bill payments (other payment methods carry fees) and the same core ledger. Inventory Plus is an optional add-on on Growing and Established. Three terms in the fine print matter more than the feature list:

  • No annual plan. The FAQ that asks "Can I pay the subscription annually?" only describes monthly invoicing, and no yearly price is listed. Subscriptions renew monthly until cancelled.
  • Downgrades wait a month. If you upgrade and want to move back to a cheaper plan, Xero lets you do that one month after the upgrade.
  • The offer covers the base plan only. The 90% discount does not apply to add-ons, usage or payment fees, it is limited to US customers buying their first organization on xero.com, and it runs until 11:59pm AEDT on November 2, 2026, which is the morning of November 2 in US time zones.

The limits that break automations

Xero does not price by user, so the plan you need is decided by volume and features. For a business that connects Xero to other software, these are the numbers to plan around, from Xero's pricing page and its developer documentation (developer.xero.com, OAuth 2.0 API limits):

  • Early's caps count automated invoices. The 20-invoice limit applies to both approving and sending, and Xero's pricing page says "transactions initiated by app partners may automatically contribute to your invoice limit." An automation that turns every Stripe payment or web order into a Xero invoice spends the same allowance your team does.
  • The 21st invoice is rejected. Xero's developer docs say an Early organization that goes past the limit through the API gets an HTTP 400 error: "You have reached the limit of invoices you can approve." The invoice date, not the date it was created, decides which month it counts against, so a backdated import can land on a month that is already full.
  • API rate limits are per app, per organization. Each connected app gets 60 calls a minute, 5 calls in progress at once, and 1,000 calls a day if the app is in Xero's starter tier or 5,000 a day in the Core tier and above. Separately, one app can make 10,000 calls a minute across all the organizations it serves.
  • Five uncertified apps per organization. A custom integration built just for your business starts as an uncertified app, and each organization can connect at most five of them. Certified apps from the Xero App Store do not count toward that limit.
  • The ceiling is high. Xero says it is designed for up to 5,000 sales invoices and 5,000 bills a month and 5,000 bank transactions a month, and that contact lists above 10,000 can cause performance issues. A small business rarely outgrows the ledger on volume.

Here is what the API numbers mean in practice. A sync that checks Xero for newly paid invoices once a minute makes 1,440 calls a day, which is over a starter-tier app's 1,000-call day before it does anything else. Checking every 5 minutes costs 288. Loading 2,000 past invoices one call at a time takes at least 34 minutes at 60 calls a minute and two days of a starter-tier allowance; Xero's docs suggest batches of about 50 invoices per request, which turns the same import into 40 calls.

A worked example: a 6-person service business sending 40 invoices a month

Take a 6-person home-services company. It sends about 40 invoices a month, enters about 25 vendor bills, pays 5 employees and 1 contractor through payroll, and has no foreign-currency customers or project job costing. Prices are from Xero's pages as read October 19, 2026.

LineYear one, buying with the offerYear one, no offerYear two
Early ($27)Does not fit: 40 invoices against a 20-invoice cap, 25 bills against 5
Growing plan$389.40 (6 × $5.90, then 6 × $59)$708$708
Payroll for 6 people ($36 + 6 × $6 = $72 a month)$720 to $864$864$864
Total$1,109.40 to $1,253.40$1,572$1,572 ($131 a month)

The payroll range is there because Xero's payroll page advertises 2 months free, and the terms behind its asterisk were not on the page we read. The low end assumes the 2 months apply; the high end assumes they do not.

What the table shows: the offer is worth $318.60 on Growing in year one, and payroll is the bigger line every year after that. At $131 a month for accounting and payroll together, the business pays about $21.83 per person a month, and that figure falls as it hires, because Xero charges nothing per login and payroll adds $6 per person. If the same company starts tracking job costs, Established at $97 adds $38 a month ($456 a year at regular price), and the offer is worth $523.80 on that plan in year one.

How this compares with QuickBooks depends on how many people log in, since Intuit prices by user count. Intuit's pricing page did not load for us on October 19, 2026, so we are not quoting a QuickBooks price today. Our QuickBooks vs Xero comparison has both price lists, each with its read date, and the seat math for teams of one to five.

How Xero connects to AI and workflow automations

Xero's own AI is JAX, a chat assistant inside Xero. Xero's JAX page says it is available to all subscribers with no extra charge at present (Xero reserves the right to change that), answers questions about your own figures, and can do admin on request, such as creating an invoice from a contact's last quote. It also says JAX only acts when you open it and ask: it does not run in the background. So JAX is a faster way to do a task by hand, not a replacement for an automation that runs while nobody is looking.

For that, Xero sits behind an automation layer. Zapier lists Xero as a Premium app, with ready-made workflows such as creating Xero invoices from Stripe payments, Shopify orders or form entries, and n8n publishes a Xero integration as well. Each of those connections spends the same Early invoice cap and API allowance described above, and the automation platform charges its own meter on top; our automation platform pricing guide prices one workflow on every major platform. On the document side, Early already includes Smart Document Capture, and an AI layer on top of the books (categorizing transactions, matching receipts) is a separate purchase, covered in our AI bookkeeping guide.

Is Xero worth it, and when does a business outgrow it?

For a small business that wants double-entry books, bank reconciliation and invoicing without paying for every login, Xero is good value, and Growing is the plan most growing service businesses end up on. Early only makes sense if you send fewer than 20 invoices and enter fewer than 5 bills a month, and nothing automated is creating invoices for you.

Businesses rarely outgrow Xero's ledger. What they outgrow is the manual work around it: bills arriving as PDFs in someone's inbox, invoices typed in from a job system, payments matched by hand. Plan upgrades do not change that. Putting a pipeline in front of the books does, and the accounts payable version of it is laid out step by step in how to automate accounts payable with AI.

Who can connect Xero to the rest of my business?

Simple connections, such as one Zapier workflow from your payment processor to Xero, are worth setting up yourself. A builder earns a fee when invoices, bills and payments need to move between Xero, your job or CRM software and your bank with AI reading the documents in between, and when the build has to stay inside Xero's caps and rate limits instead of failing at the 21st invoice. SuperDupr, Justin McKelvey's company, does that work and does not resell Xero subscriptions. A Xero connection to the rest of a business is an AI workflow automation project for us, published at $10,000 to $25,000; a bill-and-receipt reading pipeline on its own is AI document processing at $8,000 to $20,000. Most AI systems go live in 2 to 4 weeks, and ongoing support runs $200 to $2,000 a month. You keep your Xero organization and your accountant.
