Zoho One Pricing 2026: $37 All Employee vs $90 Flexible, and the Per-License Limits That Cap Automations
As of November 4, 2026, Zoho One costs $37 per employee a month on All Employee Pricing or $90 per user on Flexible, billed yearly. Where the math flips for a 25-person company, and how the license model sets your Flow and webhook limits.
How much does Zoho One cost? The short answer
As of November 4, 2026, Zoho One costs $37 per employee a month billed yearly on All Employee Pricing, where you license every person on payroll, or $90 per user a month billed yearly on Flexible User Pricing, where you license only the people who log in. Monthly billing is $45 and $105. A first-year offer drops All Employee to $30, and Zoho's card shows Flexible at $67 against the $90 list. The cheaper Essentials plan is $9 a user billed yearly, but it leaves out the automation tools.
Every price here comes from Zoho One's US pricing page, its pricing FAQ and its plan-details page, all read November 4, 2026. Local taxes are added on top. There is no minimum license count on either Standard model, so a one-person business can buy All Employee Pricing too.
Zoho One plans and prices in one table
| Plan | Billed yearly | Billed monthly | Who you license | Automation tools |
|---|---|---|---|---|
| Essentials | $9 per user | $11 per user | Any number of users | Zoho's Essentials list names Bigin, its lighter CRM, plus Desk, Projects, Campaigns, Mail and People. Flow, Creator and Analytics are not on it. |
| Standard, All Employee | $37 per employee ($30 in year one) | $45 per employee | Every employee on payroll | Full suite of 50+ apps, including Zoho CRM, Flow, Creator, Analytics and RPA |
| Standard, Flexible User | $90 per user (card shows $67) | $105 per user | Only the people you choose | Same suite as All Employee |
Two details on the offers. Zoho's FAQ says All Employee "annual subscriptions from the second year onward are billed at $37 per employee per month," so the $30 is a year-one price. The Flexible card shows $67 with $90 struck through and no end date printed, while the FAQ's plan description still says $90. Budget on $90 and treat $67 as a discount you confirm at checkout.
All Employee or Flexible: where the math flips
All Employee looks cheaper per seat, but you pay it for everyone, including staff who never open the software. Zoho's FAQ is direct about it: if it sees employees who aren't licensed, it asks you to buy the rest or move to Flexible. Employees who don't use a computer or phone are a sales conversation, not a published rule.
At list prices, All Employee costs less once the people who need logins are more than 41% of your headcount ($37 divided by $90). In year one, with $30 against $67, the line moves to about 45%.
Take a 25-person home-services company: 8 office and sales staff who live in the software, and 17 field techs.
| Licensing | Year one, billed yearly | Year two, billed yearly | Billed monthly, per year |
|---|---|---|---|
| All Employee, 25 licenses | 25 × $30 × 12 = $9,000 | 25 × $37 × 12 = $11,100 | 25 × $45 × 12 = $13,500 |
| Flexible, 8 users | 8 × $67 × 12 = $6,432 (if the offer applies) | 8 × $90 × 12 = $8,640 | 8 × $105 × 12 = $10,080 |
On price alone, Flexible wins for this company. At list prices it stays cheaper up to 10 users ($10,800 a year). The 11th user takes it to $11,880, past All Employee's $11,100. The seat math isn't the whole story, though, because Zoho sizes the automation limits by license count.
The per-license limits that cap your automations
Zoho One's plan-details page lists most automation limits per organization plus a slice per employee license. That means the licensing model you pick also sets how much automation you can run. These are the lines that matter when you connect Zoho to a website, a phone system or an AI step:
- Zoho Flow: unlimited flows, with tasks listed at 3,000 per organization a month and 1,000 per employee license a month. Every successful action in a flow counts as a task, and polling triggers check every 5 minutes.
- Zoho CRM webhooks: 500 calls per employee license a day, up to 500,000, whichever is lower.
- CRM workflow emails: 500 per employee license, or 25,000 a day, whichever is lower.
- Zoho Creator API: 1,000 calls per employee license a day, with a floor of 10,000 and a ceiling of 30,000.
- RPA: 150 flow runs per organization a month plus 50 per employee license.
Run the same 25-person company through those limits. Say it automates three things. A lead flow (form to CRM lead, AI summary, text to the owner, follow-up task) uses 5 tasks a lead, and 400 leads a month is 2,000 tasks. A job-closed flow (Books invoice, CRM deal update, thank-you email) uses 3 tasks a job, and 600 jobs is 1,800. A sync that pushes 300 updated jobs a day to an outside scheduling tool is about 9,000 tasks a month. That's roughly 12,800 tasks a month.
| Limit | Flexible, 8 licenses | All Employee, 25 licenses |
|---|---|---|
| Flow tasks a month | 3,000 + 8,000 = 11,000 | 3,000 + 25,000 = 28,000 |
| CRM webhook calls a day | 4,000 | 12,500 |
| RPA runs a month | 550 | 1,400 |
| Creator API calls a day | 10,000 (the floor) | 25,000 |
The cheaper licensing model is the one that runs out. On 8 Flexible licenses, this workload goes about 1,800 tasks over the Flow allowance every month, so the sync has to move to a scheduled batch or out of Flow. On All Employee, it uses less than half. If you plan to automate heavily, price that $2,460-a-year gap between Flexible and All Employee (year two) against what it would cost to rebuild the sync somewhere else.
Is Zoho One worth it compared with buying Zoho CRM alone?
Only if you'll actually replace several tools with it. Our HubSpot vs Pipedrive vs Zoho CRM comparison prices Zoho CRM Professional for five people at about $1,380 a year on reported figures. Zoho One Flexible for the same five is $5,400 at list. That gap pays for itself only if Zoho One also takes over your help desk, books, forms, email marketing and HR. For a firm that mainly needs a CRM, buy the CRM.
The forms line is a good test. Zoho One includes Zoho Forms, so a team already paying for a form builder can drop it. Our Jotform pricing breakdown shows what that line costs on its own, including the daily API caps that hit integrations. Do the same check for each tool you'd retire. If the retired bills come to less than the Zoho One difference, the suite isn't saving you money.
The other all-in-one buyers shortlist is Odoo, which prices per user rather than per employee. Our Odoo pricing page puts 25 users on Standard at $7,470 for the first year and $9,330 after, before setup. Odoo licenses only users, but it charges every user. Zoho gives you the choice of model, which is the reason to run the break-even above before you sign.
What Zoho One does not include
- Taxes. VAT, GST and local taxes are added to the listed prices.
- Mixed currencies. Zoho's FAQ says you pay in the currency of the country where you created the account, even if your staff are in several countries.
- Marketplace extensions. Third-party extensions from Zoho's Marketplace are billed separately, not on the Zoho One invoice.
- Implementation. Zoho sells support plans and configuration packages separately, and offers its Jumpstart team for onboarding.
If the Flow allowance is the constraint, the usual fix is to run the heavy sync on an outside automation platform. Our automation platform pricing guide shows how Zapier, Make and n8n each meter a run, so you can price that move.
Who can build automations and AI agents on Zoho One for my business?
Zoho's own workflow rules and Flow templates cover simple internal hand-offs, and you should start there. Bring in a builder when a workflow crosses systems, such as leads coming in from a website or phone line, an AI step that reads and writes your records, or a sync that has to stay inside the limits above. SuperDupr, the AI ops shop Justin McKelvey runs, builds that layer on top of Zoho and other stacks. We don't resell Zoho licenses. A Zoho-centered workflow is an AI workflow automation project for us, published at $10,000 to $25,000. Most AI systems go live in 2 to 4 weeks, ongoing support runs $200 to $2,000 a month depending on volume, and your business owns what we build. The first step is a free 30-minute strategy session, where we'll also tell you if Flow alone will do the job.
